Destination Wedding Room Blocks: What Happens After You Sign the Contract?

Picture this… 💍🌴

You've invited 80 people to your destination wedding, and almost everyone says they're coming!

So, you start securing rooms for your group.

Then real life happens.

Someone can't get the time off work. Another guest realizes the trip is a little more than they budgeted for. A couple decides they can only stay three nights instead of five.

And all the while, your room block has deadlines, contract requirements, and details that need to be watched.

This is why managing a destination wedding group is about so much more than reserving a block of rooms.

I'm keeping an eye on the contract, room availability, important deadlines, and your guests' bookings so you don't have to spend the months leading up to your wedding worrying about hotel logistics.

You've got enough to think about when planning your wedding. You shouldn't have to become the person managing everyone's hotel reservations, too!

Here's a little peek behind the scenes at what goes into managing your destination wedding group. 🌴💍

💍🌴 Let's talk about destination wedding room blocks!

If you've never signed a group hotel contract before, don't worry. Most of my destination wedding couples haven't either!

And I'm willing to bet that when you first started dreaming about your destination wedding, you weren't thinking about room-night commitments, payment deadlines, or attrition.

You were thinking about the beach, your ceremony, the resort, and having all your favorite people there to celebrate with you. ❤️

But getting everyone to the same resort, making sure they book their rooms, and keeping track of all those details? That's a whole other part of planning a destination wedding.

That's where your room block comes in.

And while it doesn't have to be complicated or overwhelming, there's more happening behind the scenes than most couples realize.

That's one of the things I'm here to help with. You focus on planning your wedding and getting excited for your big day. I'll help you navigate the room block details along the way! 🌴

Your Room Block Is More Than a Group Rate

When I help a couple set up their destination wedding room block, we're doing a lot more than asking a resort, "How much are the rooms?" 💍🌴

We're planning for a whole group of people who may be traveling on different dates, staying different lengths of time, choosing different room categories, and, let's be honest, changing their minds along the way!

The room block agreement lays out the important details, including the rooms being held, group rates, deposits, deadlines, and the terms the group needs to meet.

And those details matter!

Because once that contract is signed, we don't just tuck it away and forget about it until the wedding.

The room block needs to be managed from start to finish.

If you're still trying to figure out what a destination wedding room block actually is or how to get one started, I've put together a guide to help!

It walks you through the process, from choosing your resort to opening the room block for your guests.

Now, let's talk about those rooms you're holding!

Imagine you're inviting 80 people to your destination wedding. At first, everyone is excited!

"We're coming!"

"Wouldn't miss it!"

"Start making the margaritas!" 🍹😂

Then it's time to actually book and put down a deposit.

Suddenly, those 80 enthusiastic people don't necessarily translate into 40 booked rooms.

Someone can't get the time off work. Another guest realizes the trip is outside their budget. A family situation comes up. And someone who planned to bring a guest is suddenly traveling alone .

It happens!

That's why I don't look at a guest list and automatically assume everyone invited will be traveling.

When we're setting up your room block, I'm thinking about your actual group, the number of rooms that make sense, how long your guests might stay, and the types of accommodations they'll need.

The goal isn't to hold as many rooms as possible. It's to set up a room block that makes sense for your wedding and your guests.

And then there's another challenge we need to talk about…

The procrastinators. 😂

Every wedding group seems to have a few!

There's always someone who waits until the very last minute to book. And for some reason, there's a suspiciously good chance it's the best man!

That's one reason I help my couples establish a Book By date for their guests.

I don't just pick a date because it looks good on the wedding website. I look at the contract deadlines and work backward to give us time to see where the group stands before important dates arrive.

If the contract has deadlines for releasing rooms or making additional payments, we don't want a bunch of guests deciding at 11:57 p.m. the night before whether they're actually coming!

Your guests might simply see:

📅 Please book your room by June 15.

But behind the scenes, there's a reason for that date.

And that's the part many couples don't realize goes into managing a destination wedding group.

It's not just about getting everyone to the resort. It's about keeping track of the details along the way so you can focus on what really matters: celebrating your wedding with the people you love. ❤️🌴

What Happens If Your Guests Don't Book All the Rooms?

One of the first questions couples ask me when we start talking about destination wedding room blocks is usually something like this:

"Wait… what happens if we hold 30 rooms and only 20 get booked?" 😳

And my answer?

Let's look at the contract.

Because there's no one-size-fits-all answer when it comes to destination wedding room blocks.

Some contracts allow you to reduce unused rooms by certain deadlines. Others have minimum room or room-night requirements. And some include attrition clauses that could mean additional costs if your group doesn't meet its agreed-upon commitment.

Every contract is different, and those details matter!

That's why I don't want my couples choosing a room block based only on which resort offers a room for $20 less per night.

I want to look at the whole picture.

🏨 How many rooms are we committing to?

📅 When can we reduce the number of rooms?

💰 What happens if fewer guests book than expected?

💳 What deposits are required, and are they refundable?

❌ What are the cancellation terms?

Those answers can be a whole lot more important than a small difference in the nightly room rate.

So, let's talk about one of those contract terms you probably never thought you'd need to know about: attrition.

🌴 What Exactly Is Attrition?

Attrition is one of those words you probably never cared about until you started planning a destination wedding!

In simple terms, an attrition clause may require your group to fulfill a certain percentage of its agreed-upon room or room-night commitment.

If your group falls below that requirement, there could be financial consequences, depending on the terms of your contract.

Does every destination wedding room block have attrition? No.

Does every contract calculate it the same way? Also no!

That's why my job isn't simply to tell you, "Don't worry about attrition."

My job is to understand what your particular contract requires, keep an eye on how your guests are booking, and pay attention to the deadlines that could affect your room block.

Setting up the rooms is only step one.

Managing them is what happens during all those months between signing the agreement and actually boarding the plane. ✈️

And speaking of managing things…

📅 There are A LOT of dates to keep track of!

This is probably one of the least glamorous parts of planning a destination wedding, but it's also one of the most important. 💍🌴

Your resort contract may have deadlines for deposits, room reductions, guest payments, final balances, and other requirements.

And missing the wrong deadline can have consequences.

That's why I keep track of those dates for my couples.

I also work backward from those contract deadlines to establish booking and payment deadlines for your guests, giving us time to see where things stand and address anything that needs attention.

As your wedding gets closer, I'm keeping an eye on things like:

🏨 Are rooms being booked as expected?

📋 Do we have unused rooms we need to address?

💳 Are guests keeping up with their payments?

📅 Is an important contract deadline coming up?

⚠️ Do we need to take action before that date arrives?

You've already got plenty of dates to remember when planning a wedding. Dress fittings, vendor payments, invitations, showers, bachelor and bachelorette trips, marriage-license requirements…

You don't need to wake up at 2 a.m. wondering, "Wait… weren't we supposed to release some of those rooms today?" 😂

That's one less thing I want you worrying about!

And then there's what happens when your guests change their plans.

Because here's something you learn pretty quickly when managing destination wedding groups: travel plans change!

One guest books Wednesday through Sunday, then discovers that flying in on Tuesday makes more sense once flights become available.

Another decides to turn the wedding trip into a longer vacation and stay three extra nights.

Someone needs to change roommates.

And another guest suddenly can't travel at all.

These things happen, and they can affect the room block, too.

So who handles those messages when I'm managing the travel? Me. Not the bride! ❤️

That's a bigger deal than some couples realize when they first start planning.

You don't want to spend the final weeks before your wedding answering messages from Cousin Amy because she found a better flight and wants to know if she can add Thursday night to her reservation!

That's exactly the kind of thing I want my couples to be able to hand off.

We'll talk more about guest bookings and changes in the next article in this series, but here's what I want you to understand for now:

Your room block isn't something you set up once and forget about.

It's something that evolves as your guests make their reservations, change their plans, and figure out what works best for them.

And there's one more important piece of this puzzle…

Making sure your guests understand what they're agreeing to, too. 🌴

The couple isn't the only one who needs to understand the terms and conditions! 💍🌴

When your guests book their rooms, I want them to understand the important details that come with their reservation.

Things like:

📅 When is their payment due?

❌ What happens if they need to cancel?

💳 Is any portion of their payment nonrefundable?

🏨 What happens if they need to change their dates or room category?

The last thing I want is for a guest to discover the cancellation terms for the first time after they've decided they can't make the trip!

A little communication upfront can prevent a whole lot of frustration later.

And instead of you becoming the middleman between 60 guests and all their travel questions, your guests have someone they can contact for help.

That's one more thing you don't have to manage yourself! ❤️

What If the Room Block Fills Up?

We've talked about what happens when guests don't book as expected. But there's another possibility…

Everybody's booking! 🎉

That's a great problem to have, right?

Usually, yes! But it doesn't mean I can just snap my fingers and add another 15 rooms.

Additional rooms and room categories depend on availability, and the resort may not always have what your guests want.

If I see that a particular room category is filling quickly or reservations are coming in faster than expected, I can look at our options and request additional rooms if they're available.

That's another reason keeping an eye on your room block is so important.

I don't want to discover three months later that your original block is full and the resort has already sold out of the room category everyone wants!

Your Room Block May Come With Perks, Too! 🌴

It's easy to focus on contracts, deadlines, and all the things you need to keep track of. But depending on the resort and your group agreement, there may be some benefits attached to your group's bookings, too!

These might include:

✨ Complimentary room nights

🥂 Room upgrades

🎁 Resort credits

🌴 Other group perks or concessions

But here's the important part: you need to understand what it takes to earn those benefits.

Some may depend on the number of rooms booked, total room nights traveled, minimum-stay requirements, or other conditions outlined in your agreement.

I don't want you counting on a complimentary room or another perk when we haven't confirmed exactly what your group needs to do to qualify.

You guessed it… we look at the contract!

So, Is a Destination Wedding Room Block Complicated?

It can have a lot of moving parts, but you don't have to figure everything out on your own!

That's why I work with my couples to understand the agreement, keep track of important dates, monitor bookings, and help manage the details as their guests make plans.

You get to focus on planning your wedding and looking forward to celebrating with everyone you love.

And I'll help keep the travel side moving along. 💍❤️

So, does managing a destination wedding room block have a lot of moving parts?

Absolutely!

But here's the thing…

It doesn't have to feel complicated to you. 💍🌴

There's the contract, deadlines, deposits, possible attrition requirements, guest payments, room categories, and all the changes that can happen along the way.

And let's be honest. There's almost always going to be at least one person who waits until after the Book By date to finally reserve their room. 😂

But that's exactly why having someone who specializes in destination wedding travel can make such a difference.

I don't expect my couples to become group travel experts just because they're getting married somewhere beautiful!

That's my job.

Here's what I'm helping with behind the scenes:

🏨 Setting up your room block and helping you understand the contract.

📅 Establishing guest booking deadlines based on your group's requirements.

📋 Keeping track of important dates and deadlines.

💳 Monitoring guest payments and helping keep everything on schedule.

💬 Making sure guests understand the terms of their individual reservations.

✈️ Helping when guests need to change their travel dates, adjust their room arrangements, or have questions about their bookings.

And when someone finds a better flight and wants to change their arrival date?

They contact me. Not you! ❤️

That's the whole point.

A well-managed destination wedding room block isn't about handing you a contract and a list of deadlines and telling you to figure it all out.

It's about having a plan for your group and someone keeping an eye on all those moving pieces while you focus on planning your wedding.

Because when your wedding week finally arrives, you should be wondering whether the weather will cooperate for your beautiful beach ceremony…

Not whether the best man ever paid the balance on his room!

Although, between us…

It's probably the best man. 😂🍹

Finding a beautiful resort is only one piece of planning a destination wedding.

The right resort also needs to work for your guests, your budget and the type of group you're bringing with you. And once we've found it, someone needs to manage all those travel details between "We found the resort!" and "We're getting married!"

That's one of the biggest reasons to have a destination wedding travel specialist on your team.

I'm not just helping you find somewhere beautiful to say "I do."

I'm helping you create a travel plan that works for the people coming with you.
